Not every email should become a service ticket. AI can sort them before anyone has to.
Think about what arrives in your business inboxes every morning.
A customer reporting a fault.
Someone asking for an update.
An invoice.
A meter reading.
A sales enquiry.
A request that has already been dealt with.
A message that needs a service ticket.
And another that definitely doesn't.
Now multiply that by hundreds or thousands of emails.
Most businesses deal with this by creating more inboxes.
Service has an inbox.
Sales has an inbox.
Accounts has an inbox.
Somebody then needs to open the emails, work out what each one is about, decide whether somebody has already responded and determine what needs to happen next.
Only then does the actual work begin.
What If AI Could Do That First Step?
We have been looking at how AI can help with that layer of work before a ticket is created.
This is important because not every email should become a service ticket.
Instead, imagine one simple view where your team can see incoming communication and quickly understand:
Has somebody responded?
Does this still need attention?
Is it a service issue?
Does it need a ticket?
Or does it belong somewhere else entirely?
AI can help analyse incoming messages and determine what appears to be happening.
Where a service ticket is genuinely required, the information can then move into the appropriate ticketing or service process. Where it isn't required, you haven't created unnecessary tickets simply because an email arrived.
The objective isn't to replace your service team. It's to remove some of the sorting that has to happen before your service team can actually do its job.
Less time managing inboxes.
More time dealing with customers.
