AI Cannot Help You When Each Team Calls the Same Customer Something Different

Before AI can be useful, your business information has to be connected.

Imagine a customer emails your business. They have a problem with a machine and need somebody to help. Simple enough.

But what happens behind the scenes?
Service finds the customer in one system. Accounts have them recorded slightly differently in another. Sales has its own CRM record. Equipment information sits somewhere else. Contracts and billing may sit in another part of the business.
People can usually work around this. They know the customer. They recognise the name. They know who to ask. They search another system, send an internal email or make a phone call.

AI doesn't have that luxury. For AI to do useful work inside your business, it needs context. If a customer says:
"The machine upstairs has stopped working again."

Which customer sent the email?
Which machine are they talking about?
Where is it located? Is it under contract?
Has the machine had the same problem before?
Is there already an open service call?
Who manages the customer?
Does anything in the message need to be passed to sales or accounts?

An AI system can understand the words in an email. But understanding the words and understanding the customer are two very different things.

Before AI, Fix the Information
This is why we believe the conversation about AI has to start with connected business information. Your CRM should not know one version of the customer while your service system knows another. Your contracts, equipment, tickets, accounts and billing information should not exist as completely separate versions of the truth.
The more connected that information becomes, the more useful automation and AI can become. Instead of simply saying "this looks like a service email", an AI Agent can potentially understand who sent it, which equipment it relates to, what has happened before and what needs to happen next.

That is a much more interesting use of AI. And it is why businesses thinking seriously about AI should perhaps ask a different question.

Not:
"Which AI tool should we buy?"
But:
"Is our business information connected enough for AI to actually help us?"

One customer. One operational view. One commercial truth.

That is where useful AI starts.
